Follow the handover from adviser to office team
Start with a case owned by an adviser and give the administrator a document request to manage. Ask both providers to show how ownership, deadlines and client communication remain visible when the adviser is unavailable. Then ask a manager to review the same case without changing it. The exercise exposes differences in daily responsibilities more clearly than a long feature checklist.
If you use 360 Accounts or other practice-level processes today, record them as their own requirements. Identify who reconciles payments, produces reports and checks the state of the pipeline. Demonstrate those activities rather than assuming a new case screen replaces the process around it. Where a separate system will remain, agree what is entered there and who checks consistency.
Migration should be tested with records at different stages, including a completed case you may need to revisit. Agree which notes, attachments and historical information will transfer and which will remain in a retained archive. Train the adviser and office roles using the same pilot cases so that both sides of the handover are covered before launch.

Ask each person to find the next action, request a document and explain the case history. Record any extra tools or repeated data entry rather than relying on a demonstration of the easiest path.
Agree the complete cost
Request written terms covering the recurring charge, user or case limits, minimum term, configuration, training, migration and third-party services. Model the cost at your own case volume. A cheaper headline price can still describe a different scope; compare the services your team will actually use.
Validate a small migration before rollout
Agree the source export, field mapping and document handling. Test open and completed cases, check client relationships and notes, and decide how historical records will remain available. Give the team time to verify the pilot and agree the cutover steps before relying on the new workspace for live work.
